Clear stages

Seven practical steps from first conversation to ongoing renewals.

Institution-led

You stay in control of eligibility, launch timing and staff access.

Managed delivery

We handle the technical implementation so your team can focus on students.

The implementation journey

Each stage builds on the last — from understanding your institution through to cards in students' wallets and year-round support.

  1. Step 1Discovery call

    Initial consultation

The institution provides basic information about institution type, approximate number of students, current student card process, existing student information system, expected launch date, and whether digital Wallet cards are required.

  2. Step 2Scope & timeline

    Implementation plan

StudentCards.eu prepares a tailored plan covering required setup, student information import, card design, digital Wallet requirements, staff access, implementation timeline, pricing and support.

  3. Step 3Configuration

    Institution setup

The required institutional accounts, authorisations and card configuration are prepared so your institution is ready to issue cards.

  4. Step 4Import & checks

    Student data preparation

Supported starting points include CSV, Excel, manual entry, or existing student system integration where appropriate. Records are checked before cards are issued.

  5. Step 5Controlled launch

    Pilot issuance

We recommend beginning with a controlled group of students so that the card design, data and delivery process can be verified before wider issuance.

  6. Step 6Institution-wide

    Full rollout

Cards are issued and students receive instructions for accessing them, including digital Wallet options where included.

  7. Step 7Lifecycle support

    Ongoing management

Support continues for new students, annual renewals, graduates, withdrawn students, expired cards, information changes and technical updates.

After launch

Students carry their card where they already are

Once cards are issued, students can access digital credentials on their phones — including Apple Wallet and Google Wallet where included in your implementation — without your team running a separate development project.

  • Pilot before full rollout
  • Clear student access instructions
  • Renewals and leavers handled ongoing
